General Information
Thank you for your interest in becoming at vendor at our annual Sunflower Festival and Market. Please review the terms and conditions and fees associated with the market.
We are looking forward to another fun and successful event with you as our partner!
REGISTRATION FEES
$50 - FOOD AND WINE VENDORS
$25 - ALL OTHERS
Fees are for the entire weekend. There is no single day vending rate. Fees cover advertising expenses.
Please send 3 photos and your company logo to winfieldfarms@yahoo.com by June 30th so that your business is included in the advertising campaigns
All fees are nonrefundable
Vendor Responsibilities / Terms and Conditions:
Vendors are required to have a trash bin with bags at their booth. Vendors will dispose of all trash at the end of each day at the designated location.
Wine vendors MUST submit a copy of their Liability Insurance of no less than $1M showing Winfield Farms as additionally insured with this document within 1 week of the date of the event.
Items purchased for resale must be clearly labeled with a specific point of origin.

Food items must be labeled with all ingredients used in the recipe.
Vendors agree that all sales of water – bottled or otherwise is prohibited and limited to the sole source provider which is Winfield Farms
All licenses, certificates, and permits as required for their business must be on site and available at each vendor’s tent
Vendors must arrive and have their cars parked out of the market area by 9:30. Vendor access will be allowed at 8:00 a.m. Set up must be completed between by 10:00 a.m. LATE ENTRY BY CAR WILL NOT BE ALLOWED FOR SAFETY REASONS. YOU WILL HAVE TO HAND CARRY YOUR ITEMS TO YOUR LOCATION AFTER 9:30. Break down of tents should not occur before the end of the event scheduled closing time.
Vendors are responsible for following all federal, state, and local regulations regarding appropriate labeling, licenses, product/premise inspections, weights, measures, and pesticide use. Items sold at the market must meet applicable health and sanitation codes. It is the sole responsibility of the vendor to ensure compliance with the appropriate oversight agencies.
Vendors will be responsible for setting up their assigned spaces, packaging and displaying products and prices, as well as protecting their products from the elements.
Vendors are responsible for clearing and cleaning their space within 1 hour after the market closes.
Vendors must remove all refuse and unsold goods from the market area before departing. NOTE: Vendors may leave tents on premise between Saturday and Sunday at their own risk. Vendors are not allowed to stay or camp on premise. Camp sites may be available at Chippokes State Park about ¼ mile from Winfield Farms.
Vendors are encouraged to plan ahead and prepare enough product for the full day. If vendors wish to leave early, they must coordinate your departure with event Coordinators. NO CARS WILL BE ALLOWED BACK INTO THE EVENT AREA UNTIL the close of business for SAFETY REASONS
Winfield Farms will designate and clearly mark space for each vendor. Vendors are responsible for providing their own tables, chairs, table coverings, and trash bin.
Vendors are expected to be courteous and cooperative with consumers and the Sunflower Market Coordinator.
NO alcoholic beverages will be allowed in or on the premises of the market unless you are a WINE VENDOR. Wine vendors MUST HAVE APPROPRIATE LICENSE FOR EVENT FROM Virginia ABC.
Animal petting stations must be enclosed and have a self-contained hand washing station with appropriate signage, soap, paper towels, trash bin and waste water catch basin. Note: Please contact us in advance if you need assistance with hand washing stations.
The event will take place rain or shine unless there is a state of emergency declared for a named storm.
All vendor registration fees are nonrefundable as they are used to offset unrecoverable marketing costs.
Liability:
Many items sold at the Sunflower Market are subject to USDA, VDACS, and/or Health Department regulations.
All vendors will operate at their own risk and are liable for their own products. Neither the Market Manager nor Winfield Farms will be held liable for the products offered by vendors. Product liability insurance is the sole responsibility of the vendor.
Financial Considerations:
Sales tax is the responsibility of each grower/vendor. The Sunflower Market does not collect taxes.
Growers are required to obtain a valid business license and/or peddler’s license as / if applicable.
Certification of Agreement and Hold Harmless
Winfield Farms and its representatives may change, or alter these Rules and Regulation to the extent deemed necessary.

I hereby certify that I have read, understand, and agree to abide by the rules and regulations herein. I also agree that Winfield Farms, its management, respective officers, representatives, heirs, volunteers, and associates will be held harmless for any claims or causes of action for any losses, damages, property damage, property loss or theft, costs, expenses, complaints, personal injury, or other loss arising from or relating in any way to my participation in the market or claims of third parties arising from participation in The Winfield Farms Sunflower Market to include personal injury, property damage, and product liability.
I have reviewed these rules with all of my employees, volunteers or other support staff that will be with my company at the Market. I accept full responsibility for their compliance with the rules set forth.
I hereby certify that the information provided is accurate and true. I agree to indemnify and hold harmless Winfield Farms, its owner, heirs, and their respective officers, employees, or representatives, from and for any and all claims or causes of action for any losses, damages, property damage, property loss or theft, costs, expenses, complaints, personal injury, or other loss arising from or relating in any way to my participation in the market.
